Supervision: how it works

An overview of the supervision module — supervision rules, supervisors, and where to monitor supervision.

The supervision module lets administrators define which staff need supervision, who can supervise them, and under what conditions — then flags any gaps so they can be resolved before a roster is published.

The pieces

  • Supervision rules (settings) — created by admins under Admin → Supervision settings. A rule says who is supervised, which shifts it applies to, who can supervise, and what counts as supervision (same roster group, same roster, same shift, etc.). See Creating a supervision rule.

  • Supervisors — when a supervised person is rostered, HosPortal looks for an eligible supervisor on that session. If exactly one fits, it's assigned automatically; otherwise the slot is left for an admin to fill. See Assigning or changing a supervisor on a shift.

  • Ad-hoc supervision — a one-off supervision arrangement added directly to a shift, outside of any rule. See How to add Ad-hoc Supervision to a shift/slot.

Where you'll see it

  • On the roster — an eye icon next to a name: grey when supervised, red when a supervisor is still needed.

  • On the dashboard — the Admin Dashboard lists everyone currently unsupervised so you can resolve them in one place.

  • In reports — each shift carries a supervision status (Yes / No / N/A) you can filter on.

Good to know: rules can be created retrospectively and apply to already-published shifts, and deleting a rule removes the supervision requirement from the shifts it affected.
