Generate and download a staff data report from HosPortal.

Feature summary

The export tool allows administrators to generate a downloadable report of staff data, with configurable filters, formatting options, and selectable data fields.

When to Use This

  • Audit staff contact information.

  • Check role assignments.

  • Perform bulk data analysis outside of the HosPortal platform.

Step-by-step instructions

Navigate to the export page

1. Go to Staff > Export (top right-hand side).

2. Review the filtering and formatting options on the Staff Export page.

Configure the export

1. Select the file format and orientation:

File type: Excel (.xlsx) or PDF

Orientation: Portrait or Landscape (PDF only)

2. Apply staff filters (optional):

Roles: filter by roles created in HosPortal

Skills: include only staff with specific skills in HosPortal

Teams: filter by specific teams within HosPortal

3. Choose the page format:

One row per user: each staff member appears once, with all roles and skills in a single row

One row per user role: users with multiple roles appear on multiple lines, one per role

Select fields to include

Toggle the data fields to include in the export. Available fields are:

Name and identity fields

• Last name and first name

Short name: display name or initials used in condensed roster views

Payroll ID: unique identifier for the hospital's payroll system

Contact information fields

Email: the user's primary contact email

Mobile: the user's primary mobile phone number

Contacts: additional contact information (i.e. Home Phone, or Pager Number)

Roles and skills fields

Roles: current clinical or administrative roles

Role dates: the specific dates a user is assigned to their roles

Teams: the functional departments the user belongs to

Skills: specific credentials or competencies assigned to the user

System metadata fields

Last login time: useful for auditing system engagement and identifying inactive users
