When to use Selection-Based Self-Roster

Feature Summary

HosPortal provides two main ways for users to participate in building activity-based rosters or on-call rosters, and one of them is Selection-based self-rostering.

When to Use This

  • Use Selection-based self-rostering when a roster is unpopular, and you need quotas and auto-fill options to support fair allocation and ensure everyone fills their quota.

  • Use Selection-based self-rostering when a roster is extremely popular and there is high competition for shifts.

  • Use Selection-based self-rostering when there are many users compared to the number of shifts, and you need a quick, efficient setup that can reduce administrative effort.

Step-by-Step Instructions

Selection-based self-rostering

  1. During the selection ‘window’, have users pick from the available shifts.

  2. When a user picks a shift, it is reserved for them immediately. No one else can select it.

  3. While the selection window is open, users can release a reserved shift back to the pool of available shifts so other users can select it.

  4. If you use a quota (a minimum number of shifts), have each user pick their required number of shifts during the selection window.

  5. If users do not pick their quota, administrators can opt for HosPortal to assign shifts automatically to those people.

Related Settings or Dependencies

  • Selection window: Users pick shifts (selection-based) during this period.

  • Quota (minimum number of shifts): Often used with selection rostering. Each user must pick their quota during the selection window.

  • Auto-fill options: Used with quotas to help ensure a fair allocation of shifts and to manage ensuring everyone fills their quota.
