Feature Summary
Shift change request rules control whether shift change requests submitted by users are approved automatically, denied automatically, or sent for manual approval, based on configurable conditions.
When to Use This
Setting up automatic approval for known, low-risk shift change combinations (e.g. cross swaps between specific call types).
Requiring manual approval for shift changes involving specific roster groups or roles.
Automatically denying shift change requests that meet certain conditions.
Applying different outcomes based on request type (e.g. create prearranged gift, create prearranged swap, adjust shift time, create prearranged shift split, take market swap, take market swap bounty, take market gift, take market gift bounty).
Rules can be scoped to a specific roster or left to apply across any roster.
Step-by-Step Instructions
Navigate to Shift Change Request Rules
Click Admin in the left-hand navigation menu.
Type rule in the Type to search field. The Rules section appears with filtered results.
Click Shift change request rules. The Shift change request rules list page opens.
Create a New Rule
Click +Add. The Create shift change request rule page opens.
Click the outcome dropdown (initially showing denied) at the top of the form: If a user requests to change shifts it is [outcome]. Select one of:
approved
denied
requires approval
Configure Conditions – Simple Mode (Default)
When Advanced mode is off, two simple conditions are shown:
The roster group is – select a roster group from the dropdown.
The roster is – optionally narrow to a specific roster (defaults to any roster).
Configure Conditions – Advanced Mode
Toggle Advanced mode on. The conditions panel changes to show a logic builder with an If [All/Any] are true: row. Any previously configured simple conditions are carried forward.
Use the All / Any dropdown on the top-level condition row to set whether all conditions or any condition must be met.
Click Add a condition to add a condition row. The following condition types are available:
User, Role, Roster group, Roster, Date overlaps, Happens after, Happens within, Shift change request type, Cross swap, Days of week, Any/All
For each condition row, use the operator dropdown (e.g. is, is not) and the value dropdown to configure the condition. For example:
Role is not Administration
Roster group is On Call
Shift change request type is create prearranged gift
To add a nested condition group, click Add a condition and select Any/All. A child condition block appears with its own If [All/Any] are true: row and Add a condition button.
Add conditions to the nested group as required.
To remove any condition row, click the red delete icon to the right of that row.
Save the Rule
Click Save. The page returns to the Shift change request rules list. A green confirmation banner, Shift change request rule saved, appears at the top of the screen.
To discard changes at any point, click Cancel.

Shift change request rules list: The list page displays existing rules grouped under three headings—Approved automatically, Denied automatically, and Requires approval. Existing rules can be edited from this page using the Edit link.
Select rosters filter: On the list page, use the Select rosters dropdown to filter the rules list by roster.
Shift change request type values: When using the Shift change request type condition, the available values are: create prearranged gift, create prearranged swap, adjust shift time, create prearranged shift split, take market swap, take market swap bounty, take market gift, take market gift bounty.
