These are the instructions on how to add new users in HosPortal

Adding a new user in HosPortal can be done by anyone with administrator access.

Click Staff (A) on the left-hand panel then click on Add (B) on the upper right-hand side.

Fill out the mandatory fields indicated by an asterisk (*).

Note the difference (C) between Role, a required field that defines the type of user this is (e.g. Consultant, Administrator) and Position, an optional field that allows other information about this person to be seen on the staff page ('Head of Department' or 'Roster administrator').

Once you enter a valid email address, you have the option to 'Send invitation now' (D). This will immediately send the user a login invitation and ask them to create a password once you save their details.

If you want to send the invitation later un-select this option and you can come back later to their profile, or use the administrator dashboard, to send an invitation manually at any time. The 'Send invitation now' option can be unticked if setting up a new batch of users or trainees starting in the future, or the new user does not yet know they will be added to HosPortal.

When you have completed their profile information, click the Save button (E).

Adding an additional role to an existing user will not trigger an email or an invite but a new profile will be available immediately when they next log in.

Importing Users

It is more practical to import a spreadsheet when adding multiple users into the system.

  1. Go to Staff and click on Import (F).

2. Download the template in the xlsx format (G).

3. The template has a sample format that is easy to follow (H). Fill out the template and save the file.

4. On the same page, click on 'Choose File' (I). The system will automatically map the fields and provide a preview.

5. Import the data (J) and the staff profiles will automatically be created.
