Supervision Module

Set up supervision rules, manage supervised staff on allocations, and track unsupervised activities on the dashboard.

Feature summary

The supervision module allows administrators to create rules that define which staff require supervision, who can supervise them, and under what conditions — and to monitor and resolve unsupervised activities from the admin dashboard.

When to use this

• A staff role or individual requires supervision when rostered on.

• Supervision must be provided by a specific role or named individual, or by someone with particular skills.

• Supervision conditions need to be defined — for example, same roster, same shift, same time, or anytime on that day.

• A one-off supervision arrangement is needed outside of a formal rule (ad hoc supervision).

• Unsupervised activities need to be identified and resolved from a central view.

Step-by-step instructions

Access the supervision module

1. Go to the main Admin page.

2. Select Supervision settings.

Create a supervision rule

1. From the supervision module, click Add.

2. Enter a clear, descriptive name for the rule (e.g. "Registrar Surgical Supervision").

3. Define the date range over which the rule applies.

Note: It is often helpful to set the date range to the beginning of the current month.

4. In the first panel, specify the group or role that requires supervision (e.g. "Surgical Registrars").

5. Optionally, add filters to refine scope — for example, by Roster Group (e.g. "Allocations Roster Group") or other available filters.

6. In the second panel, define who can supervise: select individual users or a role (e.g. "Surgical Consultant").

7. Optionally, specify skill requirements for supervisors.

8. Set the supervision condition:

Same roster (Clinical Domain): supervisor and supervised person must be on the same clinical roster

Same shift: both must be staffed on the exact same shift

Same time: both must be working at the exact same time within a session

Anytime on that day: both must be working at any point during the same day

Apply supervision on the allocations page

1. Add a staff member who requires supervision to a session.

2. A new panel will appear, indicating the role requires a supervisor and listing all eligible supervisors for that session.

3. Select the appropriate supervisor from the list.

4. A small eye icon will appear next to the supervised person's name to confirm supervision is assigned.

5. If a person is unsupervised, the icon will turn red. Click into the shift to assign a supervisor.

Track and resolve unsupervised activities on the dashboard

1. Go to your Dashboard, then select Admin Dashboard.

2. Select "Who are the people who are currently unsupervised?"

3. Filter by activity (e.g. "clinical allocations") and date range as needed.

4. Click any entry to manage it and assign a supervisor. Once assigned, the entry will be removed from the list.

Assign ad hoc supervision

1. On the allocations page, select the staff member who needs ad hoc supervision.

2. Click on their shift details.

3. Select "Create an ad hoc supervision".

4. Specify who needs to be supervised and by whom.

Note: Ad hoc supervision is a one-off activity and will be marked as "ad hoc supervision". It can be set up at any time, regardless of whether formal rules are in place.

Related settings and dependencies

Automatic supervisor assignment: If only one eligible supervisor exists for a given situation, the system will automatically assign that supervisor when the junior staff member is added.

Deleting a supervision rule: Removing a rule also removes the supervision requirement for all shifts previously affected by that rule.

Retrospective rules: Rules can be created retrospectively and will apply to shifts that have already been published, establishing supervision obligations for those shifts.
