A break template sets a rule for breaks — how long a break is, how many breaks apply, and which shifts and staff they apply to. HosPortal then adds these breaks to matching shifts automatically so they appear on timesheets.
Note: in the current version all breaks are unpaid.
On your Admin page, search for "break" and open Break templates (it sits under the Timesheets section).
Click the +Add button. A pop-up window will appear where you set up the rule:
Name: a label for the template, for example "Registrars".
Start date and End date: the period this template is active. Leave the end date blank if it has no end.
Applies to shifts: choose which shifts the breaks apply to — for example in any roster group, in roster group, on rosters, and so on.
Shift length: apply the breaks to shifts of any length, or choose specific length to set a minimum and maximum (for example, only shifts greater than 6 hours, with no maximum).
Break duration: how long each break is (for example, 30 minutes).
Number of breaks: how many breaks of this type apply to a matching shift.
Applies to users: who the template covers. Leave it as is to apply to everyone, or choose roles and pick specific roles.
Click Save. The template appears in the list, summarising the shifts it applies to, the shift-length condition, break duration, number of breaks and who it covers. From the list you can Edit, Pause or Delete a template.
Note, once a break template is applied, breaks are added to existing shifts that match the settings; this sometimes takes a few moments to complete, dependingon the number of matching shifts, so you may see "pending" in the list until it is finished.
