A timesheet export template is the Excel file HosPortal fills in when you export approved timesheets. You upload your template once, then attach it to a payroll period so exports for that period use it automatically. (For how to build the template itself — the tags and layout — see Designing your timesheet export template.)
1. Upload the template
On your Admin page, search for "export" and open Timesheet export templates (it sits under the Timesheets section). Click +Add. The Add Timesheet Export Template pop-up appears.
Upload your Excel file (.xlsx, .xlsm or .xls). The file is virus-scanned and validated, so it shows as Scanning in the list for a moment before it's verified.
If your file includes a Settings sheet, HosPortal reads the layout from it automatically. If it doesn't, set the layout in the form:
Date orientation — Vertical (dates run down rows) or Horizontal (dates run across columns).
Is the template for multiple users — choose Yes to place several staff in one sheet
Per-user block: if you set mulltple users to "yes" above, you need to specify which area on the spreadsheet represents the user tempalate that will be duplicated once for each user; that need only have the tags you need for a single user. You specify the excel cell for the top left and bottom right of that area.
Click Save. Your template now appears in the list, where you can Edit, Download or Delete it.
2. Attach it to a payroll period
Go to Admin → Payroll periods, edit the relevant period, and set the Time sheet template field to your uploaded template. Save. Exports for that period will now default to this template, however you can select from any of the available templates at export time.
You can still choose a different template at the moment you export, but setting it here saves you picking it every time.
