Term dates: defining your rotation periods

How to create and manage term dates, the rotation periods that set the window over which a term's shifts apply

Term dates are the rotation periods on your calendar — the dates on which trainees start and finish terms. They are the backbone of the terms feature: terms and term users both refer to them, and it's the link between a term date and a term user that sets the window over which a term's shifts apply. This is usually the first thing to set up.

A term date is simply a named period with a start and an end, for example "2026 Term 1" running from early February to early May.

Creating a term date

  1. Go to the Admin menu and choose Term Dates.

  2. Click + Add.

  3. Give the term date a Name, then set the Start date and End date.

  4. Save.

Scoping term dates to roles

Different staff groups often rotate on different calendars. You can assign a term date to specific roles — for instance a set of dates that applies to Registrars and a different set that applies to Residents. Only the relevant term dates will then appear when you work with those roles.

Naming conventions

Pick a logical, consistent naming convention so the dates are easy to select later — for example a year followed by the term number ("2026 Term 1", "2026 Term 2"). Consistent names make a big difference when you are choosing dates while creating terms or assigning term users.
