What's new: editing shifts

HosPortal now has more flexible and powerful editing and review functions. All types of shifts allow you to:

  • Edit the name of the shifts, the time and the location (A).

  • Draft/publish the entire shift, or cancel the shift, usings the buttons in the top of the pop-up (A)

  • Quickly edit the user on a shift (B) by clicking the person icon

  • Make other changes to an individual in a shift (D), by clicking the three dots (C), such as draft/publish an individual user separately from the shift, edit the time the user is on duty separate to changing the shift time, adding notes, etc.

When you select the edit user button (B), you can choose your users by filtering by their role (E). If the roster requires particular skills or teams, then you can filter also by these attributes. You can also search for users by name in the 'search user' box (H).

Users will be included in one or more of 7 categories (F). Click on each category to see and select the users. Note that a user can be included in multiple categories.

  1. Unallocated: users whose templates indicate that they should be staffed at the time of this shift, but have not yet been staffed.

  2. Available: users who have volunteered to work on this shift, even if they do not normally work. An example might be a VMO or a part-time staff member who does not normally work on this day but who has made themselves available in their HosPortal profile.

  3. No template: users where their template does not define if they are working at this time or not. Examples could be contractors or VMOs who do not have an explicit duty to do at this time.

  4. Allocated: users who are already staffed at this time.

  5. Conflict: users who, if staffed in this shift, would break one of the rostering rules that have been defined. An administrator can still staff one of these users by overriding these conflict rules if they wish.

  6. Leave: users who are on leave when this shift is on. Note that the leave needs to be approved, not pending approval.

  7. Unavailable: users who have expressly noted that they are unavailable to be staffed during this shift, or users who are exempt from this roster or not qualified for this roster. A roster administrator cannot override this.

You can also mark the shift vacant (G). Vacant is the new terminology for what used to be called 'Unallocated' in the old version of HosPortal.
