HosPortal's term templates allow you to define repeating patterns of work that can be reassigned easily from one person to another. This was designed for trainees or other rotating staff, but could be applied to any pattern of activity where there is high turnover of staff, for instance for locums, or where you want to quickly reassign a single person's activity to another person.

The three stages of the term templates are:

  1. The term, being the pattern of activity that a person might usually do. For instance a General Surgery term for general surgery trainees, or a Neurology term for physician trainees.

  2. The term dates, that define the dates that the trainees start and end, or the dates that the trainees change term.

  3. The term assignments, where a trainees are assigned to the term over the correct dates.

  4. The term users, being the list of trainees on a certain term.

Adding term dates

Go to the Admin menu and choose Term Dates. +Add and set the dates accordingly. You can define terms by role (e.g. different ones for Registrars and Residents).

It is better to pick a logical and consistent naming convention to make the terms easy to select later.

Adding Terms

Click on +Add Term button and fill out the mandatory fields indicated by an asterisk (*) such as the Name and the Roles.

Fill out the details of the term pattern by clicking on the green plus icon.
