Manage your HosPortal account name, contact, holidays and billing

Site Details

  1. Click on "Site details" under the "Site" menu group and you will see your account name and other details;

  2. Click here to make changes;

Edit Site Details

  1. You can only edit your account name. To make other changes, please contact our customer support;

  2. Click here to enable multi-factor authentication to login to your HosPortal application for all your users;

  3. Click "Save" to save the changes or cancel the changes;

  4. Click "Exit" to leave the edit page;

Billing Details

  1. Under the billing details menu, you will be able to make changes to the account billing name, ABN number and billing address;

  2. The email address entered here will be used for sending the HosPortal invoices;

  3. Click here to make changes or cancel and exit;

Holidays

HosPortal automatically adds proclaimed public holidays in each state. If you want to add additional days that behave like holidays, such as shut-down days, then you can add a 'site holiday'. You can also remove them.

  1. Click here to view the tags associated with the holidays added to your account. State and national holidays are automatically added to your account;

  2. Click here to search for holidays by tag or with some text;

  3. Click here to add a holiday;

Add a holiday

  1. Give a name for the holiday you would like to add;

  2. Select a date from the calendar and save;

Edit a holiday

  1. The new holiday will be added with the tag "SITE" to denote that it is a site specific holiday, that is it is applicable only for your account;

  2. Click here to edit or delete the holiday that has been added;

NOTES:

  1. Holidays affect all roster groups. It is not possible to create a holiday that affects only one roster group, such as clinical allocations, and not others, such as on-call shifts;

  2. You can only change the holiday status of a day if there are no shifts on that day, in any roster group. So if you have any shifts in published or draft state you first need to delete them;

  3. Once you have changed the holiday status you can then draft and publish your shifts from templates;

  4. If you want to add a shift that does not adopt the standard holiday setting (e.g. add a shift on a holiday using the normal shift timing, or use holiday timing for a shift on a normal weekday) you will need to add it as an ad hoc shift: it cannot be created from the templates;

Contact Settings

  1. You may view the contact settings for the account in this menu;

  2. Click here to make changes to a contact method;

  3. Click here to add a new contact method;

Add a New Contact Method

  1. Give a name for the contact method;

  2. Select the contact type;

  3. Click here to pick where the contact method should be applied to. You can select multiple contact methods;

Dashboard Settings

  1. Here you can select what should be displayed under the "Shifts of today" column on the left of the dashboard for all the users;

  2. If you click on the heading, all the sub-headings will be automatically selected;

  3. You can use the 3 horizontal bars to move the order of a sub-heading;

  4. A partially filled square means that only some of the sub-headings are selected for this group;

Communications History

  1. You can view all the communications exchanged between users in your account;

  2. Use the search filters to narrow down and search;

  3. The status of the communication, whether delivered and yet to be opened or opened;

  4. Type of communication sent;
