The Home page and the dashboard have powerful and flexible feature for site admins to leverage from.

  • A: HosPortal Menu:

    • Dashboard: Depending on user access permissions, Admin and/or User Dashboard are visible on the homepage.

    • HosPortal's 'Call' and 'Allocations' rosters are just two of as many different roster groups as you can to set up. You can have as many of these roster groups as you like, call them whatever you want (e.g. 'Medicine', 'Anaesthesia', 'Day shifts', 'Night shifts'), define their default colours, and have a unique symbol on the HosPortal main menu.

    • Market: The marketplace where shifts are placed and can be picked up by users. For more information, check this article.

    • Direct message: a menu to send emails and SMS directly from HosPortal to specific users or user lists. For more information on direct messaging, click on this article.

    • Documents: Where a site can upload documents for users to view

    • Staff: For all users' profiles - including their roles, skills, teams, FTEs...etc.

    • Leave: Where admins can see all all leave (approved and submitted), and manage all requests

    • Events: Events can be announced to users by adding them here and they will appear on user dashboard.

    • Noticeboard: Where admins can put public messages or announcements for users - they will be displayed on the user's dashboard. To add a notice, check this article.

    • Directory: A directory can be imported into HosPortal through a bulk upload.

    • Admin: The Admin page where admin functions are grouped together for ease of use. The "Site" function within the admin page has the sub-menus to manage your account, contact and communication settings. Please see this article for site administration.

  • B: What users see as the the shifts of today can be tailored by site administrators on the Admin page. You can show only a subset of the shifts of today if you like, and show them in different formats.

  • C: There is a dedicated Admin dashboard (please see below).

Admin dashboard

Clicking into the admin dashboard shows outstanding administrative tasks (M), with the number of outstanding tasks counted in each category. Click into each category to act on these items.

  • Leave requests: Outstanding leave requests that need to be approved or declined.

  • Conflict shifts: Shifts that have been staffed in ways that break the shift staffing rules. You can now define different staffing rules on the Admin page.

  • Vacant shifts: shifts that have been published without a user in a required position. These are shifts that used to be called 'unassigned'.

  • Market shifts: Shifts that are on the market that users are wanting to swap or give away. You can define in the admin page what shifts can be placed on the market (if any), and who can pick them up.

  • Shift change requests: HosPortal now has an approval workflow that allows you to define what shift changes need administrator approval.

  • Unacked reminders: HosPortal can ask users to respond to shift reminders or confirm that they are aware of shift assignments, e.g. in a self-roster process. Any reminders that have not been acknowleged by users are shown here.

  • Pending users: Users that have been invited to join HosPortal but have not yet done so.

  • Email suppressions: Where it flags emails that could not be sent to users, and prompts the admin to check if the addresses are correct.

  • Invalid mobiles: Where mobiles that are no more valid are listed, so that admin is aware when sending sms communication.

  • Clean-up: lists the items that requires update for admin's attention - for example an admin shift alert contains 1 ended recipient, so the admin can update the reminder.
