Ending a user role and removing users

HosPortal keeps track of users past activity even after they are no longer active at each site. For this reason, usually you cannot delete a user, you just end their role.

A role can be ended at any date. This can be in the past (e.g. to record the date that someone finished) or in the future. For safety protection, the end date for a role must be after the last date of any activity still recorded in HosPortal, such as leaves, allocations, and on-call activities. So if you want to end a role today you must first remove that person from any future activity. To check if there is any future activity, select the 'Calendar' menu under a user's profile and see if there are any upcoming commitments.

Only if a user has never had any activity recorded on HosPortal (e.g. they have never been staffed on a shift and have never had any leave recorded) will you be given the option to delete the user altogether. If you do that then all record of them even having access to HosPortal will be removed.

To end a role

To end a users role, select the relevant user's profile and click "Edit" (A) on the top right of the page:

Select the appropriate End Date (B) for the role and then press "Save" (C):

If you find you are unable to enter the end date you want, you should examine the user's call, leave, and allocations for perhaps an incorrect entry. If a user has resigned from the hospital, you may need to reallocate their shifts.

You may also use the 'Force end' function if you are unable to end date. Once you click the checkbox, you can choose an earlier date to end role and it will show you a summary of the records of this user:

For allocated shifts, you have the option to vacate the shifts, or vacate and put the shifts on the market. Select one option, then click on Save. The end date will then apply for the date defined and shifts will be vacated accordingly.
