After building the templates for your rosters, the next step for the site administrator is to populate the users in order to get to publishing a roster.
There are three different ways to populate the users on location-based rosters (Allocations):
From templates
From the multi-select function
From patterns
In the following section, we describe each method and provide instructions for their use:
1. Creating templates:
In order to add users, click on the 'Templates' button then click on a shift. A pop-up window will appear as follows, click on the icon as per (A):
The following page will open a list of users to select from. This will be the user template, and the repeat cycle for the selected user can be changed here (B):
After selecting a user, the name will appear next to the icon (C) and it will show on the shift template (D):
2. Multi-select function:
If there is no specific pattern for users, but you would like to template users on several shifts with the least possible clicks, go to 'Edit':
Then click on the 'Multi-select' button:
Select several shifts that you would like to assign a user to (E), then click on Bulk edit (F), then add user (G).
3. Creating shifts from patterns
After you've created the patterns in the Admin page, go to Allocations page and click on the 'Edit' button. Three dots will appear next to each location. Click on the 3 dots, a menu will appear where you can select the function 'create shifts from pattern':
Select the role you would like to apply the pattern to (H) and the user (J), and specify which pattern (I) and the mode of application(K).
The date range field will adjust according to the mode of application you select.
You may also want to include additional filters in the patterns for when user is on leave or for shifts already filled (L).
The shifts will apply to the staff member in accordance with the pattern selected (M) and can be directly drafted or published (N).
You also have optional filters if you wish to apply them on the user - such as 'Teams' and 'Offset days/weeks'.
