Making yourself 'available' and 'unavailable'

HosPortal allows users to specify when they are available and unavailable for shifts. These are times that are in addition to a users allocations and templates managed by roster administrators.

Using the different types of templates

Not all roster administrators refer to what users say about their own availability, so you should check first with your administrator.

Note that roster administrators' definitions of your working hours take priority: you cannot mark yourself unavailable at a time that conflicts with existing templates (e.g. 'allocated' templates, where you are staffed on a specific activity, or 'unallocated' templates, where you are listed as being available for work but have no specific activity).

You can however create conflicting available and unavailable templates. In which case the unavailable templates take precedence. For instance you can mark yourself available every Friday, but then mark yourself unavailable for Friday 13 September without having to edit your available templates. Your roster administrator will see that you are unavailable on 23 September.

Managing your templates

To manage your templates, from your profile page go to the 'User templates' tab (A). Note that the processes for making yourself available and unavailable are the same.

Any existing templates will be shown:

  • allocated templates (managed by your administrator) are pink

  • unallocated templates are blue (managed by your administrator) are blue

  • available templates are green

  • unavailable templates are grey.

To create a template that repeats regularly (e.g. every week, every 4th week) click on the first day of your pattern in the top half of the page under 'Repeating templates' (B). If you want to create a single template that does not repeat, click into the bottom half of the page under 'Non-repeating templates' (C). You may need to use the date selectors to scroll to the correct date (D).

Click on the green 'plus' button for the date you want.

To create repeating templates

After you have clicked the green 'plus' button, select the start and end date of your pattern, the repeat cycle, the days of the week the pattern applies to and whether you want to make this pattern apply on holidays (E).

Next select the rosters you want your pattern to apply to. You can make yourself available/unavailable for all rosters in the roster group, or only specific rosters (F). Also select the time that this applies to. If your site uses standard AM and PM session times you can select those (F).

Select whether you are marking yourself available or unavailable (G) and click save.

To create non-repeating (single) templates

After you have clicked the green 'plus' button, confirm the date (H). Next select the rosters you want your pattern to apply to. You can make yourself available/unavailable for all rosters in the roster group, or only specific rosters (I). Also select the time that this applies to. If your site uses standard AM and PM session times you can select those.

Select whether you are marking yourself available or unavailable (J) and click save.

To edit or delete your templates

Click into the template on the screen and edit its settings, or select delete. Note that deleting a repeating template will delete all instances of the template, not just a single session.
